Configure QuickBooks Sync Settings

QuickBooks Sync works with QuickBooks Online to help you keep track of your customer's orders.

From the QuickBooks Sync settings page, you can choose how and where the information that you export from Shopify appears in QuickBooks Online.

 


 

Setup

  1. From the Shopify admin, select Apps.
  2. Select QuickBooks Sync.
  3. Select your QuickBooks accounts for each category.

    Note: Visit QuickBooks Online Chart of Accounts for more information. If a required account does not exist in QuickBooks Online, then you will be prompted to create one.

  4. Optional: Select Export your payout fees and adjustments from Shopify Payments..

  5. Choose your Payment Fees accounts for each category.

  6. Under Tax Settings, select the relevant tax agency for each location.

    Note: QuickBooks Sync requires that you enable taxes and choose a tax agency in QuickBooks Online, even if you aren't actively charging tax through your Shopify store. The first tax agencies appear here based on the locations of your shop. Additional tax agency dropdown menus are created based on your Shopify orders. If taxes are charged to locations that have not yet been set up in QuickBooks Sync, exports stop until all of the agencies are filled.

  7. From the following options, choose how you would like QuickBooks Sync to handle orders where multiple tax rates in QuickBooks match the rate and location in Shopify:
    • Always automate sales tax in Quickbooks based on location (AST)

      Note: AST (Automated Sales Tax) allows QuickBooks to calculate all taxes on their end using their system. This option only appears if you have AST enabled in QuickBooks Online and are located in the US. Read more about this on the Intuit QuickBooks Support Center.

    • Prevent the order from exporting and show a list of all valid matches, allowing you to deactivate one of them then re-run the export.
    • Find or create a generic Shopify named tax instead.
  8. Under Product export settings, choose how you want your products to appear in QuickBooks Online.

  9. Under Customer export settings, choose how you want your customer records to appear in QuickBooks Online.

    Note: By default, QuickBooks Sync creates separate customer records in QuickBooks Online for each of your Shopify customers. If you select Do not export customers to QuickBooks Online, then QuickBooks Sync assigns all exported orders to a single Shopify - Customer record in QuickBooks Online.

  10. Under Export settings, choose if you want to schedule Automatic exports daily (after midnight) or Receive export notifications by email.

    Note: If an order is missing from the automatic export, you can add it by creating a new export with the date range that includes the date of the missing order.

  11. Click Save / Complete setup.
