QuickBooks Sync allows you to manage customer mappings between your Shopify store and your QuickBooks Online account.
This article shows you how to edit, create, and delete customer mappings.
Functionality
Customer mappings connect customer profiles in Shopify to the corresponding customer profile in QuickBooks Online. When an order is exported over that contains a customer that is not yet mapped to a customer in QuickBooks Online, a new customer is created in your QuickBooks Online account.
In QuickBooks Sync, you can map customers from your Shopify store to your QuickBooks Online account in either of the following two ways:
- Export customers to QuickBooks Online - This exports all your customer data attached to the Shopify order to QuickBooks Online.
- Do not export customers to QuickBooks Online… - This creates a single Shopify customer, noted in QuickBooks Online under Shopify Customer - [your-store-name].
This setting can be changed in QuickBooks Sync under Settings > Customer export settings.
The customer mapping tool can be used to create a new mapping, edit an existing mapping, or delete an existing mapping.
Edit an existing mapping
If you notice that a customer from Shopify is not mapped to the correct customer in QuickBooks Online, you can edit the existing mapping to correct this.
- From your Shopify admin, open QuickBooks Sync.
- Click Manage mappings from the homepage or Mappings in the left menu.
- Click the Customers tab.
- Choose how you would like to search for a customer mapping by selecting a filter.
- Click Search.
- In the search results, click on the ellipsis next to a customer mapping, then select Edit.
- Enter the name of the customer from your QuickBooks Online account that you would like to map the Shopify customer to, then click the magnifying glass.
- Choose a customer in the dropdown results, then click Save.
Create a new mapping
If you want to map customers before performing an export, then you can create a new mapping in QuickBooks Sync.
- From your Shopify admin, open QuickBooks Sync.
- Click Manage mappings from the homepage or Mappings in the left menu.
- Click on the Customers tab.
- Select the Search customers by Shopify name, address, email, phone search filter.
- Enter the customer's name, address, email, or phone number, then click Search.
Note: When searching by phone number, do not include special characters.
- In the search results, click on the ellipsis next to the unmapped customer, then click New.
- Enter the name of the customer from your QuickBooks Online account that you would like to map, then click the magnifying glass.
- Choose a customer in the dropdown results, then click Save.
Delete a mapping
You do not need to delete a customer mapping in order to edit it. However, if a customer shares a mapping with another customer, you may want to delete the mapping and have QuickBooks Sync create a new customer in your QuickBooks Online account the next time that the customer data is exported with an order, or create the mapping manually.
To delete a customer mapping, please follow the steps below.
- From your Shopify admin, open QuickBooks Sync.
- Click Manage mappings from the homepage or Mappings in the left menu.
- Click on the Customers tab.
- Choose how you would like to search for a customer mapping by selecting a filter.
- Click Search.
- In the search results, click on the ellipsis next to the customer mapping, and then click Delete.
